Our Executive Assistant position allows you to play a key role inside our organization by working directly with our CEO, Alex Owens, in a variety of administrative duties, and also with the entire team to manage transaction coordination. 


For the right person, this role could lead to a senior leadership position within the team as a Director of Operations. You'll play a critical role in the long-term growth of the business. Keep reading to learn more.

Hello, I'm Alex Owens, CEO of the Alex Owens Team. I am personally writing this job description. Why? Because you’ll be working with me and all my imperfections day in, day out in a position where the work is never done and you have to love the chaos.

About Alex Owens

Alex's original background is actually in digital marketing, not real estate. After spending nearly 10 years honing his advertising skill set, he decided to put it to work inside his mom's business (his mom having been a Realtor in Naples for 30 years). 

The results were immediate - within just 6 months of getting his real estate license and launching his first campaigns, Alex had put 8 deals under contract with gross commissions totaling $250,000. Within his first year, he surpassed $500,000 in Gross Commission Income, all of which came from the leads he was generating online.

Alex's book of business quickly grew to a point where he could no longer handle it himself, so he knew it was time to bring in some help. He started by hiring 3 buyers agents, then went on to hire an operations manager, and the team has continued to grow since then, now totaling over 8 agents and $50,000,000 in transaction volume.

Work Hand-in-Hand with Clients, Experienced Agents, and our CEO

As an Executive Assistant you will be working hand in hand with experienced Real Estate Agents, clients, and our CEO, Alex Owens. You will not only learn the intricacies of a real estate transaction, but also learn how to help manage and operate a real estate team. You will assist the team with marketing, transaction coordination, and other general administrative duties.

Cutting Edge Technology

Technology should make your work easier, not more complicated. I've invested hundreds of thousands of dollars and countless hours to fine tune our tech so our systems and processes are straight forward, functional, and effective. You'll likely learn a number of new softwares that will serve you well no matter what's next in your career.

Step-by-Step Mentorship

Even if you have all the tools needed to be an effective Executive Assistant and Transaction Coordinator, you'll still need to know the basics of how to effectively communicate with clients, manage transactions, and negotiate. Not only will Alex be there to personally teach you, but you'll also be able to tap into world class training programs that Alex has invested in from some of the top real estate teams in the country.

This role could very well lead to an upper management position in this company, or others that I own. What I can tell you for sure is that this position will be an extreme learning experience. What is Required from an Executive Assistant?

We give a lot to our Executive Assistants, and expect a lot in return. Here are some of your day-to-day responsibilities and requirements for the role.

Get Your Real Estate License

Although Executive Assistants are not required to get their real estate license we ask that you complete the 63-hour Real Estate course within 6 weeks of beginning the role. We'll give you all the guidance and support you need to ensure you successfully pass the test on your first try.

Transaction Management

Aid real estate agents, clientele, and other stakeholders with paperwork and ensure the completion of all escrow documents, such as appraisals, titles, and mortgage loans. Additionally, you will be managing important deadlines. Attention to detail is a must as one missed deadline can result in a deal falling apart or clients losing money.

Build Your Skillset

Train often and develop your skills consistently. If you're not a lifelong learner who loves seeking out new information, this won't be a fit. 

Communication

Much of this role consists of communicating with clients via email, phone, and text. Once an agent gets a deal under contract, you will be responsible for managing all paperwork and deadline communication with the clients and the agent. Therefore, you must have excellent communication skills both verbally and in writing. 

A Coachable Mindset

More than anything else, you must be coachable and look forward to the opportunity to receive feedback from experienced agents, clients, and myself. 

General Administrative Duties

A portion of the responsibilities will be occasionally helping with whatever Alex might need. This could be booking flights, picking up drycleaning, or getting a carwash. These are rare, but they are occasionally needed.
